Issues with Simply Accounting

  1. Windows 2000, 95, 98 and ME, there can be problems with corruption files.
  2. Key Codes which are found on the back of your Simply Accounting CD case...be careful, make sure you have entered the code correctly.
  3. Windows ME, there has been conflicts with Video Drivers and Norton Utilities.
  4. The default path for the program files on installation is c:\ProgramFiles\Winsim.

Simply Accounting Tips and Traps!

  1. If you decide not use a module, you should hide it; otherwise you may lose the ability to enter historical data into these modules at a later date.
  2. Dates... The program asks for your company's accounting dates. Make certain you enter the proper dates, as it can be very difficult or impossible to change them later.
    Fiscal Year Start enter the start of your fiscal year
    Fiscal Year End enter the end of your fiscal year
    Earliest Transaction this is the date you are converting your manual set of books to Simply Accounting. Normally, it is the date for which you have a complete, balanced set of books for your company. Entries can only be put into Simply Accounting from this earliest transaction date to the fiscal year end date.
  3. Default Bank Account... To make a bank account the default bank account for any of the modules, from the Home Menu, click on Setup \ System Settings \ Linked Accounts and select the appropriate module and in the Default Bank Account field select the appropriate bank account. You can only link an account as the default bank account if it is an asset account with account class status of bank. This is done by clicking on Accounts, then selecting the asset account and then clicking on the class options tab and selecting bank.
  4. Multi-Currency... Simply Accounting Pro allows you to keep track of transactions in as many currencies as you need. The program comes with 35 common currencies already setup. You may however setup other currencies if you wish. Just enter the name, symbol, and exchange rate for each new currency. Simply records each foreign currency transaction in the home currency (i.e. the foreign currency amount multiplied by the exchange rate).

    To setup multiple currencies:
    1. From the home window, choose Setup \ System Settings \ Currencies
    2. Click on Allow Transactions in the Foreign Currency tab and select the home currency, the default home currency in Canadian dollars.
    3. Select an account to Track Exchange and Rounding Differences in.
    4. Under the Foreign Currency heading, double click to select a currency. If the currency is not listed, type in a name. Then fill in the information about the currencies that you plan to use.
    5. By clicking on the Exchange Rate tab, you can fill an exchange rate and date for each currency or you can enter a rate the next time you record a transaction in the foreign currency.
    To setup foreign currency bank accounts:
    1. Create an account and in the Class Options tab select bank as the Account Class.
    2. Under the currency tab select the appropriate currency.
    3. From the Home Window, click on Setup \ System Settings \ Linked Accounts and in the Vendors & Purchases and\or Customers & Sales click on the Foreign Bank Account tab and link to the appropriate foreign bank account.
  5. Setting up Multi-Users... As the system administrator, additional users can be setup from the Home Window by clicking on\ Setup \ Setup Users and then clicking an Add User. The system administrator can decide what modules the user can view or modify and what rights using third party products to be allowed.

    You must setup users if you want to utilize the multi-user functionality of Simply Accounting Pro. You can set their passwords to blank, or assign them all the same password, but each user must have a different name.

    Users may open the data in either multi-user mode or single-user mode.

    If you open the company data in multi-user mode, some menus and options will not be available, even if you logon as sysadmin. This feature protects your data from preventing other users from using the data while it is being updated.

    If you require full access to all the menus and options, logon as sysadmin and Open the data in single-user mode.
  6. PROJECT MODULE

    The Project module in Simply Accounting is very easy to use, and it can provide very useful internal management reports.

    To create a project, from the Home Window, double click on the Project icon, then click on Edit \ Create or click on the Create button.

    Things you can do... The payroll journal can allocate amounts to projects by amount, percent or hours. You can also allocate to projects with assets, liability and equity accounts. You can setup budgets in each project. A contractor would create a project for each big contract they work on. A company with commissioned sales people could set up each sales person as a project to track their individual sales or profits to determine their commissions. Think of a project as a "mini" Income Statement for a specific job you are working on.
  7. Backup Procedures

    It is very important to backup your data files to disk.That way if anything happens to your data files on your hard drive, all you have to do is restore from disk.

    You can backup your data files to disk from within the Simply Accounting program. The advantage of backing up from within the program is that the files get compressed before they are copied to disk, reducing the amount of floppy disks required for backup.

    Most users of the program have a separate backup disk for every day of the week. These backup disks are store off-site in case of fire, vandalism, theft, etc. Each day, the user brings the backup disk for that day to work and uses it to backup the current data files at the end of the day. This ensures that at least five previous days of your data files are backed up and stored off-site.

    Date file irregularities have occurred... the data base can be repaired by sending your data to Simply Accounting Data repair centres. The cost to repair the data is about $199.
